West Midlands Care Association
The West Midlands Care Association is a membership organisation of over 500 Care Providers across the West Midlands, Herefordshire, Worcestershire and Warwickshire.
We provide services which are of specific use to Care Homes and Domiciliary Agencies. For example, Criminal Records checks, Training, Events, Project Delivery and Trusted Assessors. We have a small staff of 16 working across the various aspects of the business.
Background:
We are looking to recruit several self-employed Digital Project Officers to aid the implementation and delivery of several ongoing projects to help Care Providers with their data protection legislation compliance and implmentation of digital care records
One project is part of a national program of support on this subject and we are responsible for local delivery of the project in the West Midlands, Herefordshire, Warwickshire and Worcestershire. The project began in late April 2021 and currently is scheduled to run until the end of April 2024 but with a possibility of extension to the end of April 2025
The local delivery element mainly entails us organising and facilitating a series of workshops and one to one support (either virtually or in person) on the practical completion of the Data Security and Protection Toolkit (DSPT). Each workshop will have approximately 10 care providers present.
Our other project involves supporting the role out of Digital Care records in the West Midlands. Again this is part of a national project (Digitising Social Care DISC) which is currently funded to the end of April 2024 but may be extended to April 2025. This project mainly involves speaking directly to providers about the program and assessing their needs.
The Role
This role would suit someone with a training or customer service background as it is very much focused on dealing with people (the Care Providers)
The Digital Project Officers will report to the Project Manager who has day to day management of the project or in their absence the CEO
Key Duties
- Contact care providers by phone to confirm their workshop booking and explain the documents and policies needed beforehand to successfully complete the workshop
- Contact care providers by phone to raise awareness of the DISC programme and to help them through the funding application process
- If necessary, email template documents and policies to providers who need them
- Maintain a ‘helpdesk’ function during normal office hours to answer Care Providers queries about the DSPT and DISC (The Helpdesk will be phone/email)
- Deliver DSPT Workshops to the Care Providers (Max 2 a week - virtually or in person)
- Update project records with Workshop outcomes
- Offer One to One support to providers (virtually or in person)
- Represent WMCA at project meetings
Skills Required
- Excellent customer service skills are required as this project is dealing with a sector under tremendous pressure and for whom DSPT is not a priority and is not that well understood
- Confident and articulate communicator (particularly comfortable on the phone)
- Comfortable with current popular IT packages and computers in general
- Confident in delivering materials to a small web-based or in person audience
- Excellent time management and organisational skills
- Some knowledge of current data protection legislation would be useful but is not a requirement
- Some knowledge of the care sector would be useful but is not a requirement
Other Requirements
The role will mainly be home based but requires travel to Care Providers premises or workshop venues throughout the West Midlands, Herefordshire, Warwickshire and Worcestershire (mainly Birmingham and Solihull) so a Drivers License and use of a car is required.
No previous knowledge of the DSPT is required as full training and IT support will be given
The post is fixed term (Currently funded until the end of April 2024 with a possibility of being extended to the end of April 2025)
We will be contracting on a self-employed basis so the successful candidates will be responsible for their own tax and national insurance
We are looking for candiates to work a minimum 3 days a week (Tuesday - Thursday) but the post can be up to 5 days a week but this would be negotiated if a job offer is made. We envisage that the working hours will be between 9.00am - 5.00pm Monday - Friday (dependant on working days negotiated) but some evening or weekend working may occasionally be required
Successful candidates will be employed subject to a clear DBS check
